USS Haven Operational Guidelines

Our goal as a Star Trek Club is to provide an outlet for friendship, fun, and community service based on Star Trek’s ideas and philosophy of working together. We are independent of other clubs, groups, and organizations, but supportive of all who share our common love of Star Trek and Science Fiction.
Our standards of operation are always in transition. We are busy making things happen, always ready to adapt, ready to meet the needs of our Crew and our responsibilities to each other and to our community. We believe in an exciting future.
Herein are some basic ideas and guidelines that seem to work for us. Let’s have fun, and not take ourselves too seriously.
1. Although we are based upon STARFLEET, we are a Star Trek FAN club. Our basis of operation revolves around friendship rather than a military organization.
2. Each Crewmember of the USS Haven with a rank of Ensign or above attending any USS Haven business meeting has an EQUAL vote in matters of ship’s policies and procedures regardless of rank.
3. Our Annual Business Meeting will be held as part of our February Monthly Meeting. A follow-up meeting will take place during our August Monthly Meeting.
4. Ship’s policies and procedures will be discussed and evaluated during our business meetings. Everyone attending is encouraged to participate.
5. Day to day operating decisions will be made by our Club Director. All proposals regarding event venues, or any activity that affects our philosophy, operational status, or organizational structure should be discussed with our Director prior to making any commitment on behalf of our Crew.
6. It is our Director’s responsibility to develop our agenda, and create an environment which motivates the group and makes positive things happen.
7. During our February Business meeting, the position of Club Director will be renewed annually. In the event the Director wishes to resign or retire, or the Crew wishes to consider another Crewmember for the position, such a situation will be voted on with any change to become effective as of our March Meeting.
8. Candidates for the position of Club Director must be willing to maintain our website, our newsletter, and continue the direction and growth of our Club within our defined philosophy.
9. A two thirds majority is required for election of a NEW person to the position of Club Director.
10. Crewmembers should support club activities to the best of their ability.
11. Anytime a prospect attends 3 consecutive meetings or events they will be offered the rank of Ensign as an official member of our Crew.
12. We will always do our best to give credit where credit is due. All promotions above the position of Ensign and all special awards and commendations are based on participation and support of club activities and events and will be considered at the discretion of the Club Director. It will always be our intent to be as liberal as possible with such recognition. Rewards are about merit, but also part of the special loyalty and friendship we share.
13. Rank serves as reward but also as responsibility. Accepting an assignment should be fun, but should also be taken seriously. Our Crew, our community, and our contacts depend on each member of our Crew to provide appropriate support for our activities.
14. Dual memberships in other clubs are encouraged as long as conflicting interests are managed in a reasonable manner.
15. Support of other Star Trek/Sci-Fi Clubs and Fans is part of our basic mission of service. We will do our best to attend functions hosted by our friends whenever possible, and strive to maintain a positive relationship with other fans and clubs.
16. Anytime any member of our Club or another Fan Group hosts an event we are invited to assist or participate in, we will respect their authority for the activities of that event.
17. Everyone is ALWAYS RECRUITING. We recognize that people move away, and change interests & priorities. We honor each other, Fandom, and our community by making ourselves known to others in a positive way at every possible opportunity.
18. As a fan club following the tradition of a historically important hospital ship, we operate with the goal of service to our Community. Much like the Crew featured on the TV show "MASH", there should always be a lot of laughter, camaraderie, and humanity, but our mission of serving our Community, providing a means of gathering for Trek fans and friends, and representing Star Trek’s philosophy in a positive way should always come first.
We salute our Founding Members who organized our group and fostered our initial friendships. Their commitment to our Mission helped us with a successful beginning and paved the way for an exciting future for us.
